Cura+ Admin: workflow improvements and staff training

Cura+ Admin is a web based operations platform that runs a business from first enquiry to installation: the sales pipeline, surveys, quotes, customer support tickets, field jobs, people and finance. We mapped how the platform is used, improved key workflows and made training for the staff who use it every day.

The starting point

Cura+ Admin covers a lot of ground. Opportunities move through a pipeline from a new enquiry to survey, quote, win, build, installation and handover, and customer issues move through a separate ticket board. With so much in one place, staff needed a clear picture of how each part worked, and some steps still relied on people remembering to chase.

What we did

  • Mapped the platform end to end. A product map of every main area and the steps in each core journey, written in the platform's own terms.
  • Online quote acceptance. Customers can accept a quote from a link, and the opportunity moves to Won with a confirmation for the team.
  • Alerts for stalled work. Daily in app alerts when an opportunity has gone quiet.
  • A weekly KPI email. to the people who own the numbers.
  • Feature switches. so a manager can turn a feature on or off in the app without a new release.
  • Smaller improvements. such as postcode lookup and clearer text message wording.
  • Staff training videos. Short narrated videos with UK English subtitles, filmed in a test environment: dashboard orientation, opportunities end to end, surveys and booking, and tickets from creation to close.
  • Website to pipeline. For the new Dignity Access website, enquiries are designed to arrive in the Cura+ Admin pipeline at the New stage, so no lead sits unseen in an inbox.

How we approached it

  • Start with how people actually work, then change the system.
  • Every change can be switched off or reversed.
  • Test in a safe test environment before anything goes live.
  • Train people in short, focused videos rather than long manuals.

Why sometimes less is more

Fewer features, fewer messages, fewer steps. Why doing less, on purpose, often makes products, brands and services better for the people who use them.
